Venue Walkthroughs Prior to Booking

Philly Casino Parties has successfully planned thousands of events using venue floor plans, room dimensions, photographs, and virtual consultations. In most cases, an on-site venue walkthrough is not necessary and can be replaced by our online planning tools and event layout services.

Because an on-site visit requires travel time, scheduling, and staff resources, pre-booking venue walkthroughs are not included as part of our standard quoting process. A typical site visit can require 3–4 hours or more when travel time, on-site consultation, and follow-up planning are included.

Complimentary Planning Assistance

Before scheduling a walkthrough, we are happy to assist by:

  • Reviewing venue floor plans
  • Reviewing photographs of the event space
  • Discussing room layouts by phone or video conference
  • Creating preliminary layouts using our Floor Plan Generator
  • Recommending gaming table quantities and configurations based on guest count and available space
  • Identifying potential space, traffic flow, and setup concerns

In many cases, these resources provide all the information needed to plan a successful event without the expense of an on-site visit.

Site Visit & Walkthrough Rates

For clients requesting an on-site venue walkthrough prior to booking:

  • Rate: $50 per hour
  • Time is billed portal-to-portal, beginning when our representative departs for the venue and ending upon return.
  • Travel time, on-site consultation time, and any layout planning associated with the visit are included in billable time.
  • One-hour minimum charge applies.
  • Parking, tolls, venue access fees, and other out-of-pocket expenses may be billed separately when applicable.

 

When a Site Visit May Be Recommended

While most events can be planned remotely, a site visit may be beneficial when:

  • The venue has multiple rooms or unusual layouts
  • Multiple entertainment attractions are being coordinated
  • Space limitations are a concern
  • Outdoor events require special logistical planning
  • Electrical, lighting, access, or loading concerns need evaluation
  • The client would like a detailed on-site consultation regarding event flow and room configuration

Scheduling

Venue walkthroughs are scheduled based on staff availability and may not be available during peak event periods. Advance scheduling is required.

Preferred Planning Method

The most efficient and cost-effective planning method is to provide room dimensions, floor plans, photographs, and information regarding all tables, bars, buffets, stages, dance floors, photo booths, and other attractions planned for the space.

Clients may also utilize our online Floor Plan Generator to help visualize room layouts and determine space requirements before requesting a site visit.

Important Notes

  • Payment for a site visit or walkthrough does not constitute an event booking and does not reserve an event date.
  • Event dates are secured only upon receipt of a signed agreement and required deposit.
  • Recommendations provided during a site visit are based on the information available at the time of inspection and may require adjustment if event requirements change.
